Position Summary
The Human Resources Specialist is responsible for providing comprehensive administrative and operational support to the Human Resources Department. This position assists with employee records, recruitment and onboarding, benefits administration, HRIS data management, compliance, employee relations, performance management, and other HR functions.
The Human Resources Specialist serves as a resource to employees and leaders while maintaining confidentiality, accuracy, professionalism, and compliance with applicable federal, state, and local employment laws and IBIS Healthcare policies.
Essential Duties and Responsibilities
·Maintain accurate and confidential employee personnel records and HR documentation.
·Enter, update, and maintain employee information in the HRIS/payroll system.
·Assist with recruitment activities, including job postings, applicant tracking, interview scheduling, reference checks, and pre-employment documentation.
·Coordinate new-hire onboarding and ensure required employment documents are completed accurately and timely.
·Assist with background screening, employment eligibility verification, credentialing, and other pre-employment requirements as applicable.
·Support employee benefit administration, including new enrollments, qualifying life events, and employee questions.
·Assist employees and managers with routine HR questions and direct complex matters to the appropriate HR leadership.
·Maintain employee status changes, including promotions, transfers, leaves, salary changes, and terminations.
·Assist with annual performance evaluation processes and related HR documentation.
·Monitor required employee certifications, licenses, training, and other compliance requirements.
·Prepare routine HR reports, spreadsheets, audits, and workforce data.
·Assist with tracking attendance, leave, turnover, vacancies, and other HR metrics.
·Support employee relations activities and maintain appropriate documentation under the direction of HR leadership.
·Assist with disciplinary documentation and personnel actions as directed by HR management.
·Help ensure compliance with applicable employment laws, regulations, organizational policies, and contractual requirements.
·Assist with workers' compensation and leave administration as assigned.
·Support HR audits and regulatory requests by gathering and organizing required documentation.
·Maintain strict confidentiality of employee, payroll, benefits, medical, and other sensitive information.
·Assist with HR projects, employee engagement initiatives, training programs, and organizational activities.
·Provide professional customer service to employees, supervisors, managers, and external partners.
·Perform other duties and responsibilities as assigned by the Chief Human Resources Officer or Human Resources Manager.
Required Qualifications
·Bachelor's degree in Human Resources, Business Administration, Management, or a related field preferred.
·Two to four years of progressive human resources experience preferred.
·Experience working with an HRIS or payroll system required.
·Knowledge of basic HR principles, practices, and employment regulations.
·Strong organizational and time-management skills.
·Excellent written and verbal communication skills.
·Strong attention to detail and ability to maintain accurate records.
·Ability to handle confidential information with discretion and professionalism.
·Proficiency with Microsoft Office, including Word, Excel, and Outlook.
·Ability to work independently while also functioning effectively as part of a team.
Preferred Qualifications
·Experience in healthcare, behavioral health, nonprofit, or other highly regulated environments.
·Experience with employee data reporting and HR metrics.
·Experience with applicant tracking systems and electronic personnel files.
·Knowledge of Florida employment practices and applicable federal regulations.

·Occasional travel between IBIS Healthcare locations may be required.
